Checking your site email sending and backups

On occasions, there could be issues that affect your receiving emails from your site. We back up these emails for a short period for you in your site admin. If this is the case, if you suspect that your emails and contact form submissions aren't sending, you can use the process below to check.

Emails Sending and Backups



Your site could have one of two email-sending systems installed. Both allow you to view your email activity and resend emails.

The two plugins are PostSMTP and OffloadSES. We have recently transitioned to Offload SES, so if your site has been built/updated recently, it will use this plugin.

To find the right plugin, log in to your website admin and scroll to the bottom of the left menu.
If you see an item called Post SMTP, your site uses this.
If you go to Settings > Offload SES your site will be using Offload SES.
If neither of these are present, look under Tools > Email Log this is also PostSMTP but an older version, and we recommend getting an annual update performed on your site.





Post SMTP


You can view the Post SMTP email logs by going to Post SMTP > Email logs of Tools > Email Log if you are on an older version.



Hover over the email to bring up the view option. Click on this to view the email content. You can also see whether the email was sent successfully and to which email address.




To resend these emails later:

Hover over the email to bring up the resend option.
Ensure the correct email address is in the field and press the resend button.
Repeat this for each email you wish to resend.

There will be a message when it is resent that it has been successful. Note that the format of these reset emails may look a little different to normal.



Offload SES



WP Offload SES will automatically retry email sending a few times before giving up and calling it a failure.

If that happens, you can view the Offload SES email activity logs by going to Settings > Offload SES > Activity(tab). When you first click on Offload SES, you may need to go to the bottom of the welcome screen that loads and presses the link Skip to settings.



Hover over the subject line, and an option to view email will appear. Click on this to view the email content.




To resend these later, you can select the emails you wish to resend and choose send from the bulk actions dropdown.



Contact Forms



Your site could have one of two contact form systems installed, allowing you to view your submissions easily and resend the associated emails. There are Contact Form 7 and Gravity Forms.

We have recently transitioned to Gravity Forms as our preferred form submission system, so if you have asked us to update your site since the second half of 2022, your site is most likely using this. The best way to check is to log into the admin and see if there is a menu item called Forms (on the left-hand side). If you see this, then your site will be using Gravity Forms.

Gravity Forms Submissions



Gravity Forms collects all completed form submissions within your WordPress admin dashboard. Go to Forms > Entries and click on the dropdown at the top of the page. Select the form you wish to see entries from.



From here, you will be presented with a list of Entries. Hover over the entry to bring up the view option. Click on this to view the entry content.



You can resend these later by selecting the entries you wish to resend and choosing resend notifications from the bulk actions dropdown.



You can also export form entries in Excel.

Contact Form 7 Submissions



To view your Contact Form 7 entries, go to Contact Form DB > Contact Form DB.



From here, you will be presented with a table showing all the entries and the fields that belong to them. Click on the timestamp in the submitted column to view the entry in full.



You can export all the entries as an excel or CSV file.



WooCommerce eCommerce Orders



If you have a store on your site, transactions and the cart and checkout will still run as usual so that you won't lose any revenue. You won't receive email notifications of any orders that have come through when the server is down.

You can go to Woocommerce > Orders to view your orders manually. Click on one of the orders to view the individual order page.



From here, you can resend the notifications to the admin and the customer from the dropdown on the right-hand side.
